Project management is the application of a range of knowledge, skills tools and techniques needed to deliver a project. The successful delivery of a project occurs with the co-ordination of a range of project management processes which have been classified into several Process Groups per the PMBOK® Guide:

  • Initiating
  • Planning
  • Executing
  • Monitoring and Controlling
  • Closing
  • Project Stakeholder Management

The Initiating process consists of the processes performed that define the new project.

The Project Manager should understand:

  • The scope of the project
  • The time frame for delivery
  • Resources that will be committed, including people and financial considerations
  • Quality standards
  • The risks
  • Stakeholders who will contribute, their expectations and needs

Each project operates within an organisational context so it is important to consider the organisational culture and style, as well as the systems that are in place that influence governance, procurement, regulatory environment and communication systems.

The Planning Process Group (PMI 2017) consists of the processes undertaken to identify the scope of the project, clarify objectives and decide the actions that need to be taken to deliver the objectives. The Project Manager should understand:

  • How to develop the project management plan
  • The documents required that support the project
  • The iterative nature of project management
  • The challenges and complexities that may be encountered across the project life cycle


The Executing Process Group (PMI 2013) consists of the processes undertaken to complete the work defined in the Project Management Plan. The Project Manager should understand:

  • How to co-ordinate people
  • How to co-ordinate other resources
  • The challenges of managing stakeholder expectations
  • Why schedules need to be reviewed and reported
  • When it is necessary to respond to changes and potentially modify the Project Management Plan

The Monitoring and Control Process Group (PMI 2013) consists of the processes required to ensure that the project is on track, review and if necessary manage changes to the plan. The Project Manager should understand:

  • How to control changes and recommend appropriate action
  • The importance of monitoring the activities against the Project Management Plan and other agreed baselines
  • The challenges of ensuring that only approved changes are implemented
  • When and how to disband the project team, the challenges and responsibilities


The Closing Process Group consists of the processes required to close all activities associated with the project, including contractual and other legal responsibilities. The Project Manager should understand:

  • How to verify and report all process within the Process Groups are completed
  • Establish that the project is complete
  • The importance of undertaking a review and lessons learned activity to provide guidance for future projects within the organisation.
